When a member’s employment details change — such as a salary update, job title change, or new contract dates — you can update this information in LINK by uploading an Employee Information Import File. This lets you update one or more members at once, without editing each record individually.

Before You Start

Have the correct employee number for each member you are updating — this is how the system matches rows to member records.

• Only fill in the columns you want to change. The three required columns (last name, first name, employee number) must always be included.

Excel files only — the import accepts .xlsx files up to 50 MB.

• After uploading, email the LINK implementations team to confirm. If the file has no errors, updates are applied within 24 hours.

Steps to Update Employment Information

Step 1. Download the Employee Info Import File template

From your LINK Dashboard, select Imports in the left-hand sidebar. Click the File Templates button, then click Download next to Employee Info Template File.

Step 2. Fill in the template

Open the downloaded template. For each member you are updating, fill in a new row. The first three columns — lastname, firstname, and employeenumber — are required on every row. In the remaining columns, only fill in the fields you want to change; leave any column blank that you do not wish to update.

Tip: The employee number must match exactly what is stored in LINK. An incorrect employee number will cause the row to fail or update the wrong member’s record.

Step 3. Navigate to Imports and click Import

From your LINK Dashboard, select Imports in the left-hand sidebar. Click the Import button on the right side of the screen.

Step 4. Select your file and upload

In the Import File dialog, click Select File, choose your completed Employee Info file (Excel only, 50 MB max), then click Upload. The file will appear in the Imports list with a status of Staged.

Step 5. Check the upload status

Check the Rows Failed column. If it shows zero, the file has been received cleanly and is ready to be processed. If rows have failed, click the three-dot menu (…) in the Actions column and select Errors to see what needs to be corrected. Fix the file and re-upload before notifying the team.

Step 6. Notify the implementations team

Email the LINK implementations team at implementations@link-plans.com to let them know you have uploaded an Employee Info file. If the file has no errors, the team will process it and the updated information will be reflected in member profiles within 24 hours.

Employment information updates are applied within 24 hours of the implementations team processing your file.

Important Notes

• You can update multiple members in a single file — add one row per member.

• Only include the columns you want to change. Leaving a column blank will not overwrite the existing value.

• The employee number is the key identifier — always double-check it matches the member’s record in LINK.

Do not modify the column headers or the SPONSOR_CODE / IMPORT_TYPE rows at the top of the template.

• Always notify the implementations team after uploading — the file will not be processed automatically.

When to Contact Support

Contact the LINK implementations team if:

• You are unsure which employee number to use for a member.

• Your file upload contains errors you cannot resolve.

• A member’s employment information has not updated after 24 hours.
