How to Add Members to LINK

There are two ways to add new members to LINK: adding them individually through the Members page, or uploading a Demographic File through Imports to add multiple members at once. Both methods collect the same member information. Use the individual method for one-off additions and the bulk upload for larger groups.

Before You Start

• Have each member's personal, contact, address, and employment details ready before you begin.

• For bulk uploads, use the Demographic File Template provided by LINK in your onboarding package.

• Once members are added, email the LINK implementations team at implementations@link-plans.com to confirm. The team will complete the setup and members will receive their onboarding invitation the following morning.

Method 1 — Add a Single Member

Use this method to add one member at a time directly through the Members page.

Step 1. Navigate to Members and click + Add New Member

From your LINK Dashboard, select Members in the left-hand sidebar. Click the + Add New Member button in the top-right corner.

Step 2. Complete Basic Information

Fill in the member's personal details: First Name, Middle Name (if applicable), Last Name, Tax Identifier, Birth Date, Marital Status, Gender, and Language.

Step 3. Complete Addresses

Enter the member's Home Address including country, address lines, city, province, and postal code. If the mailing address is the same, toggle Mailing address is the same. Otherwise, fill in the Mailing Address fields separately.

Step 4. Complete Employee Information

Fill in the member's employment details: Employee Number, Position, Salary, Type, Contract Start Date, and Contract End Date. Check Insider and enter an Insider Code if applicable.

Step 5. Save and notify the implementations team

Click Save to add the member. Once saved, email the LINK implementations team at implementations@link-plans.com to let them know a new member has been added. The team will complete the setup and the member will receive their onboarding invitation the following morning.

Always notify the implementations team after adding a member. Members will not receive their onboarding invitation until the team has been informed and completed the setup.

Method 2 — Bulk Upload via Demographic File

Use this method to add multiple members at once by uploading a completed Demographic File. This is the recommended approach when onboarding a group of employees.

Step 1. Complete the Demographic File Template

Open the Demographic File Template provided by LINK in your onboarding package. Each row represents one member. Fill in all required columns: first name, last name, employee number, gender, primary email, home address, birth date, tax identifier, contract start date, salary, and position. The information required matches the fields in the Add New Member form.

Step 2. Navigate to Imports and click Import

From your LINK Dashboard, select Imports in the left-hand sidebar. Click the Import button on the right side of the screen.

Step 3. Select your file and upload

In the Import File dialog, click Select File, choose your completed Demographic File (Excel only, 50 MB max), then click Upload.

Step 4. Check the upload status

After uploading, the status column will show Staged. Once the LINK team reviews and processes the file, the status will update to Completed and members will be set up in the system.

Step 5. Notify the implementations team

Email the LINK implementations team at implementations@link-plans.com to confirm that a Demographic File has been uploaded. If there are errors in the file, the team may contact you with details — see the Demographic File Errors Guide for a full list of common errors and how to fix them. If the file is clean, the team will complete the setup and all members will receive their onboarding invitation the following morning.

Important Notes

• Both methods require the same member information — use whichever suits the number of members you are adding.

• Always notify the implementations team after adding members, regardless of which method you use.

• If your Demographic File upload contains errors, correct the file and re-upload before notifying the team. See the Demographic File Errors Guide for details.
